Proposed solution based on supplied business requirements. Client identity withheld. Benefits and delivery performance require validation.

The business challenge

Connect the number to the next action.

Daily reporting can depend on manually combined sales registers, visit files, beat plans, stock sheets and collection reports. Without a common definition and reporting cut-off, two review packs can tell different stories. Separate approval follow-ups also make it difficult to see who should act on an exception.

MetaDynamic approach

The proposed design combines an ERP and field-data reporting foundation, role-based dashboards and an accountable task tracker. It extends reporting and coordination around existing systems. It does not replace the ERP or field application, redesign incentive schemes or automate employment decisions.

The proposed design connects business rules, dependable source records and authorised decisions. It starts with a defined process and data foundation, then introduces automation and AI where the evidence and operating controls support them.

Business owners approve the rules and acceptance criteria. IT owns the architecture, integration, security and monitoring. A controlled pilot is used to test the normal workflow and its exceptions before a wider release is considered.

Concept walkthrough

Follow the work and its decisions.

Select a stage to explore the proposed process. This walkthrough uses descriptive examples and has no live ERP connection.

Stage 01

Source and reconcile

Align ERP, field-app and approved manual inputs.

Agree the source, responsible owner and review evidence for this stage before enabling automated actions.

Who owns the next action behind this exception?

An exception should identify the measure, source cut-off and supporting transaction, then link to a named task owner, due date and approval route. Confirm the data before treating a missing or unusual value as a business-performance finding.

Proposed solution scope

Capabilities with clear operating boundaries.

These workstreams describe the proposed design. Included modules, interfaces, roles and acceptance evidence belong in the agreed engagement scope.

01 / WORKSTREAM

Sales performance with a stated basis

Separate primary sales recorded in the ERP from secondary sales received from distributors. Present targets and achievements by the agreed organisation hierarchy and product. Reconcile returns, cancellations, period cut-offs and currency or unit treatment before comparing performance.

02 / WORKSTREAM

Field activity and coverage

Connect calls, visits, journey plans, beats and outlet records through reliable identifiers. Define a productive call and the working-day basis before calculating averages. Treat missing uploads or incomplete mappings as data-quality issues rather than automatically concluding that field activity did not occur.

03 / WORKSTREAM

Distributor and depot stock

Review quantity, ageing, freshness and movement at the relevant stock point. Connect approved demand or sales signals to packing and replenishment discussions. Stock held by a distributor is a separate data source with its own completeness and refresh constraints.

04 / WORKSTREAM

Dispatch and collection context

Link orders to dispatch status and unresolved fulfilment reasons. Finance approves the basis for outstanding, collection targets, unapplied items and DSO. A commercial exception should lead to a reviewable source record, not just a red indicator on a management page.

05 / WORKSTREAM

An accountable task record

Each task has a unique reference, category, source transaction, raiser, current owner, priority, due date and status. Approval stages record the responsible reviewer and decision. Attach evidence, retain delay reasons where required and support verified closure or reopening without losing the earlier history.

06 / WORKSTREAM

Cross-functional workflows

The requirement includes claims, promotion requests, distributor statements, onboarding-related coordination and dispatch approvals. Scope each workflow separately with business authority and access rules. Personal or HR information should be minimised and visible only to authorised roles; reporting must not become an automatic personnel decision.

07 / WORKSTREAM

Governed KPI and dashboard design

Curated SQL views and a reusable semantic model feed operational reports and management views. Agree achievement, productivity, coverage and collection formulas with denominator and zero-value handling. Show source cut-offs, lineage and access restrictions so field and management views remain consistent.

08 / WORKSTREAM

AI explanations and model evaluation

Forecasts and exception narratives are proposed later capabilities using approved sources. Compare forecast accuracy with a baseline, test unsupported questions and monitor alert false positives. Performance bands and ageing triggers are configurable review rules, not evidence of an achieved improvement or a universal assessment of an employee.

Validation before rollout

Make acceptance evidence specific.

Use these checks to structure discovery and UAT. Selected checks are saved only in this browser where storage is available; no answers are submitted.

Success measures to validate

Establish the baseline before claiming a benefit.

A proposed sales analytics and task-tracker design. The source materials define requirements, example formulas and intended benefits. They do not verify a deployed dashboard, achieved sales uplift or improved collection performance.

For each measure, agree its definition, source, owner, reporting cut-off and comparison period. Record the pilot result and unresolved exceptions before deciding whether to expand the solution.

  • Reporting reconciliation differences and freshness against the agreed schedule.
  • Task ageing, approval turnaround and verified closure by workflow.
  • Completeness of distributor and field-data submissions.
  • Forecast error, exception usefulness and measured reporting effort during a pilot.
Delivery questions

Clarify the scope before the build.

Does a missing field update mean there was no activity?

No. The design must distinguish missing, late or unmapped source data from a verified zero. Data completeness and the reporting cut-off should be visible before interpretation.

Will the dashboards rank employees or make HR decisions automatically?

The concept provides governed operational reporting and assigned review tasks. Any personnel assessment or decision remains with authorised people and the organisation’s applicable processes.

Is this a verified client success story?

This page presents a solution concept derived from supplied requirements. It does not claim an approved client disclosure, completed deployment, customer quote or achieved financial result. The visuals and interactive examples are illustrative.
